Guide
How to stop missing WhatsApp messages at work.
You look up at 6pm and there are 40 unread chats, two of them important, one from yesterday. Here's how to make sure the right messages get an answer during a busy day.
The short answer
Pin the few chats that matter, give them their own notification sound, check WhatsApp at two or three set times instead of all day, and use an away message for everyone else. If the problem is that people are left waiting for a reply, an assistant like Cyrano can answer the chats you choose in your voice and only bring you the messages that need you.
1. Decide which chats really matter
Most missed messages aren't missed because there are too many: they're missed because the important ones look exactly like the unimportant ones. Pick the five or so people whose messages you never want to miss (your partner, a parent, your boss, your best customer).
- Pin them: in WhatsApp, press and hold a chat and tap the pin. Pinned chats stay at the top.
- Give them their own sound: open the chat, tap the name, then Notifications (on Android, Custom notifications). A different tone means you know without looking.
- Mute the noise: mute busy groups for 8 hours or always. You can still open them when you choose.
2. Check in on purpose, not all day
Constant checking feels responsive but you end up skimming, and skimmed messages get forgotten. Try three set times: mid-morning, lunch and end of day. Go through every unread chat at those times and either reply, or mark it unread so it stays visible.
3. Tell people when you're busy
People mostly mind not knowing. A short away message ("I'm at work until 5, I'll reply this evening") turns silence into a promise. WhatsApp Business has a built-in away message; on a personal account you can set an About line or save a few ready-to-paste replies. Our free away message writer gives you one in seconds.
4. Don't let "I'll reply later" disappear
The messages you meant to answer are the ones that hurt. When you read something you can't answer yet, mark the chat unread straight away (press and hold, Mark as unread) or star the message so you can find it again.
5. Let an assistant answer the ordinary ones
Most messages during the day don't need you: "Lunch Thursday still good?", "Have you eaten?", "Did you see the match?". They just need an answer that sounds like you. That's what Cyrano, the WhatsApp assistant, does:
- It replies to the chats you pick, in the way you write to each person.
- When something needs you (a decision, your plans, a yes or no), it holds the reply and asks you, with one-tap answers.
- It gives you a daily catch-up of what happened, so nothing slips.
- One tap pauses everything when you want your phone back.

Questions people ask
How do I get notified only for important WhatsApp chats?
Give important chats a custom notification tone (open the chat, tap the name, Notifications), pin them to the top, and mute busy groups. You'll hear the difference without looking.
Can WhatsApp reply automatically when I'm busy?
WhatsApp Business has an away message that sends a fixed reply. A personal account has no built-in auto-reply. An assistant like Cyrano can write real replies in your voice for chats you choose (what to know about WhatsApp).
What happens when someone asks something only I know?
Cyrano holds the reply and asks you. You'll see a "Needs you" card, for example "Asiwaju is asking about Saturday. I don't know your plans, so I haven't answered." Answer in one tap or in your own words, typed or spoken, and Cyrano replies in your voice.
